Softblues sells AI to other companies, so the first place we put it to work was our own. Instead of one assistant bolted onto a handful of tasks, we run the business as a set of connected agents: one for each function, each owning its corner of the company and handing off to the others. We are our own first customer, and the system you see here is the one we show live on every audit call. We use it before we sell it.
The Challenge
Most companies bolt a chatbot onto a single task. We wanted agents that actually run the work of each function and stay coordinated, without leaking sensitive data across teams.
- A single all-knowing assistant is the wrong shape. Finance data cannot sit in the same place as everything else, and each function has its own rules and rhythm.
- Agents that don't talk to each other drift. Sales, delivery and finance have to share one picture of the company or they make conflicting calls.
- The work is recurring, not one-off. Weekly reviews, the monthly close and content all need to happen on a cadence, on their own, not when someone remembers.
- It had to be something a new hire could step into. Onboarding cannot mean learning a bespoke system; it has to be 'open the space and read the manual'.
Our Solution
We built Softblues as six connected spaces, one per function, plus a shared hub. Each space is a Cowork project on its own Google Drive with its own operating manual (a CLAUDE.md the agent reads first), its own tools, its own memory and its own routines. Strategy sets direction. Finance runs the numbers. Sales works the pipeline. Delivery tracks live projects. Marketing runs demand generation. They stay in sync by publishing a short Status Brief to the hub, which any other agent reads before it plans, so everyone works from the same picture without ever writing into another team's drive. Recurring work runs on scheduled tasks, and shared skills package each routine so it runs the same way every time. This is the same system we deploy for clients as the Claude AI Operating System.

Holds the vision, direction and targets, and reads every other function's brief before setting them. It is the one space the others align to.
Finance Agent
Runs the numbers: P&L, balance, payroll and the monthly close, wired to Xero. Access-restricted, it publishes only a sanitised affordability signal to the hub, never raw figures.
Sales Agent
Works the pipeline in Attio: qualification, deal hygiene and the weekly sales review, with one open next step per deal and won-deal handoffs to Delivery.
Delivery Agent
Tracks live client projects, risk and capacity from Attio and Gmail, and confirms delivered revenue so Finance and Sales see the real picture.
Marketing Agent
Runs demand generation end to end: SEO, the blog, outreach and lead tracking, wired to Attio, Supabase and the website, publishing directly to softblues.io.
System Hub
The shared contract between the agents. It holds the map, the templates and each function's Status Brief, and nothing sensitive: no P&L, no rates, no client commercials.
